Position Summary:

The COO Operations and Governance Associate will support the development and on-going maintenance of the documentation, data-governance practices, policies, procedures, and evidence required to support a scalable and controlled operating environment. This is a hands-on role for an organized professional who can turn agreed operating requirements into usable documentation and governance materials, maintain action and approval discipline, coordinate and track issues through resolution across business, risk, technology, and vendor teams.

Working under the direction of senior leaders and designated business owners, the Associate will help maintain accurate records, facilitate review processes, track actions and decisions, and support consistent execution of governance requirements.

Key Responsibilities:

  • Support the development and maintenance of the enterprise data inventory, including critical data elements, sources, ownership, lineage, quality requirements, access, retention, and approved uses.
  • Coordinate data-governance forums and support business data owners in documenting quality rules, monitoring requirements, decisions, issues, remediation actions, and closure evidence.
  • Maintain a prioritized inventory of policies, standards, procedures, process maps, desktop instructions, and control documentation.
  • Draft and update policies and procedures under the direction of accountable owners, coordinate cross-functional reviews, track approvals, and maintain appropriate version control and supporting evidence.
  • Conduct working sessions and document key processes, roles, handoffs, controls, reconciliations, approvals, exceptions, and escalation paths based on input and validation from process owners and subject-matter experts.
  • Prepare and maintain governance materials, including agendas, pre-reads, status summaries, dashboards, meeting notes, decision logs, action trackers, risk and issue logs, and evidence repositories.
  • Monitor actions, milestones, issues, and dependencies; follow up with accountable owners; and escalate overdue or incomplete items to the appropriate workstream leader.
  • Support the Operational Risk Dashboard by maintaining accurate incident, control, and remediation information and compiling themes, overdue actions, and material status changes for leadership review.
  • Maintain vendor-governance documentation and support service reviews by compiling due-diligence records, performance information, open issues, renewal requirements, decisions, and follow-up actions.
  • Prepare and review materials for management, Risk, audit, regulatory, and control reviews; identify documentation or ownership gaps; and support agreed resolution actions under the direction of the accountable owner.

Qualifications:

  • At least 4 years of experience in operations, data governance, risk, compliance, audit, process management, program support, or a related financial-services role.
  • Demonstrated experience drafting policies, procedures, process maps, governance materials, or control documentation.
  • Working knowledge of data governance concepts, including ownership, stewardship, lineage, data quality, issue management, and access controls.
  • Strong organizational skills and consistent attention to version control, approvals, evidence, deadlines, and follow-through.
  • Ability to work across business, technology, risk, legal, and external-provider teams and to convert discussions into clear written documentation.
  • Proficiency with common documentation, workflow, dashboard, and collaboration tools; experience with Jira or comparable work-management tools is preferred.
  • Strong written communication skills, with the ability to organize complex information into clear, accurate, and practical documentation
  • Ability to analyze information, identify inconsistencies, ask thoughtful questions, and escalate issues appropriately
  • Bachelor's degree or equivalent professional experience.

Noteworthy Points:

  • Although the position is remote, there is a strong preference for candidates living in the NY Metropolitan Area.
  • Must be a US Citizen or Green Card Holder.
  • The salary range for the position is $110,000 - $152,000 depending on experience.
